Same-day CRM logging for your user conference: a checklist

What to set up, what to write and what to check so every conversation at an event you host is in the CRM before the team leaves the venue.

By CordiallyPublished · 3 min read

Four conversations in an event ring each send a line to a note card on the right. The card has three bars for who it was, what they said and what happens next. A dashed line marks the end of the day, with a check mark beside it.
  1. Who it was
  2. What they said
  3. What happens next
  4. Check before leaving

The short answer

Same-day CRM logging means every conversation from your event becomes a CRM activity, attached to the guest and the account's open deal, before the team leaves the venue. Set up the campaign and an owner for each key account beforehand, write three lines per conversation, log it that night, and count the gaps before anyone goes home.

What is same-day CRM logging for an event?

Same-day CRM logging is writing each conversation from your event into the CRM before the team leaves the venue, so the account owner reads it while the guest is still in town.

Definition

The same-day log is one CRM activity per conversation, in three lines: who it was, what they said and what happens next. It names the event and sits on the guest's contact, the account and any open deal.

Write the three lines before you leave the venue.

Ebsta, a revenue-intelligence vendor, analysed 655K opportunities and found that many contacts never get logged. The finding covers selling in general, not events:

“44% of the contacts sellers interact with aren’t even recorded in their CRM”

What do you set up before the event?

  • Create the event campaign and name it the way you want it to read in reports.
  • Give every key account one owner on your team, so each conversation has someone responsible for logging it.
  • Agree where the three lines go: straight into the CRM, a short form or a voice note that someone types up that night.
  • Check the associations. In HubSpot, a Super Admin can set a meeting logged on a contact to attach the company and deal automatically. In Salesforce, a guest only counts toward influence as a campaign member with a contact role on an open opportunity.
  • Log one test conversation and confirm it appears on the contact, the account and the deal.

What do you write for each conversation?

Who it was
Name, title and account, so the note lands on the right contact.
What they said
Their problem, timing or objection in their own words, not your summary of the mood.
What happens next
One action, one owner and a date.

A meeting nobody booked still gets a log. HubSpot’s knowledge base describes manual logging for it:

“log activities that occurred outside of HubSpot”

What do you check before everyone leaves?

  1. Every key account on the guest list has a logged conversation or is marked not met.
  2. Every log has one owner and a next step with a date.
  3. Anything a guest said about an open deal has reached that deal's AE tonight, not in the follow-up.
  4. Guests who are not yet contacts on the account's open deal are added to it. Both CRMs credit an event through the contact on the deal.
  5. Count conversations logged against conversations held, and write the gap on the event record.
Count the gap before anyone goes home.

Why a CRM report may still show nothing is in why your CRM shows no event influence. The four places pipeline leaks on the day are in the pipeline your team misses at your own events.

Frequently asked questions

Should I log during the event or after it?

Log between sessions if you can and finish before the team leaves. Memory fades by the next morning, and the guest is still reachable tonight. Keep each log to three lines so it takes a minute, not a report.

Who should write the log?

The person who had the conversation. A colleague typing from a verbal summary loses the guest's own words. If your team uses voice notes, one person can type them up that night, but the note stays under the original speaker's name.

What if the guest is not in the CRM yet?

Create the contact first, with name, title and account, then log the activity. An unrecorded guest is the gap Ebsta describes. Add them to the account's open deal as a contact too, or the event earns no credit for them.

Does a logged note count as event influence?

Not on its own. Salesforce influence reads campaign members with a contact role on an open opportunity, and HubSpot attribution needs the deal associated with an influenced contact. The note gives the account owner context. The campaign and the deal link give the credit.

How do I measure whether the team logged in time?

Divide the conversations logged by the end of the day by the conversations held, as in the last checklist step. Both numbers are yours, from this event. Compare events against each other, not against an outside benchmark, because none exists.
